Approved amounts are set aside from the budget.
You have a $20,000 budget, you've spent $6,000 and you have an approved order for $4,000: $4,000 is reserved automatically and the remaining $10,000 stays available to spend.
- Expenses are postedThe actual amount comes off the budget.
- Approved orders are reservedAmounts not yet spent are held separately, so what remains is clear.
- Completing the order releases the reservationCanceling it releases the reservation too, automatically.
- A notification goes out when the budget runs shortAutomatic email once the limit is exceeded.
Every budget follows its own approval path.
The budget entered by accounting goes to the finance director, then to the budget office. The process monitor shows who entered data and when, which approval is pending and where the process is stuck.
- An approval flow for every budgetSeparate for each company, project or department: accounting enters it, the finance director and the budget office approve it.
- Extra budget and transfersFunds move from another department to a budget that has run out.
- The budget calendar sends remindersAn automatic reminder one day before the entry deadline.
