Solution · Purchasing

Manage purchasing from request to payment in a single flow.

With E-Flow's procurement workflow, purchasing runs from request to payment in a single flow. Each request goes to the right approvers based on its amount; suppliers submit quotes without creating an account; the approved order is sent to the ERP, and the incoming invoice is checked against the order before it is approved.

1 · Request

How do you digitize purchase requests?

A request starts with a form designed in E-Flow: what to buy, how many, from which budget, with the quote attached. The form is built with drag and drop, without code; or you can describe the process in a sentence and AI prepares it for you.

Requests are opened on the web or in the iOS and Android app, and the requester is kept informed at every step.

2 · Approval

How do you set up purchase approvals based on amount?

Approval steps are defined by rules. For example, a request first goes to the requester's manager; if the amount exceeds $10,000, general manager approval is added, and if not, that step is skipped.

Approvers get a notification on their phone and decide in the mobile app. Your organization sets the amount limits and the approvers.

3 · Quotes

How do you collect and compare supplier quotes?

Requests for quotes go to suppliers by email. The supplier opens the link, verifies with a one-time code and enters a unit price and delivery time; no E-Flow account is needed.

Responses are gathered in a comparison table. If the deadline passes, the task returns to the person who started the process.

4 · Order

How is an approved request sent to the ERP?

An integration step in the flow turns the approved request into a purchase order in the ERP; no one re-enters the data.

Ready-made steps are available for SAP, Logo Tiger and Netsis; other ERPs and systems are reached through REST or SOAP services or a database connection.

5 · Invoice

How do you match an incoming invoice against the order?

When an invoice arrives, E-Flow reads it, recognizes the fields and fills in the form itself. Supplier, item, unit price and amount are checked against the order; if they match, approval is up to you, and if there is a difference, you see it right away.

An incoming invoice can also start the process on its own; no one has to open it manually.

E-Flow · PurchasingPick a question
Do I need coding skills to set up the purchasing process?
No. Steps are added with drag and drop, and forms are designed visually. There is a formula editor for conditions, and REST, SOAP and SQL steps are ready for advanced needs.
Does the supplier need an E-Flow account?
No. The supplier opens the link in the email, verifies with a one-time code and fills in the quote form without creating an account.
Which ERPs does the purchasing process work with?
Ready-made steps are available for SAP, Logo Tiger and Netsis. Other ERPs and systems are reached through REST or SOAP services or a direct database connection.
Where are quotes and contracts stored?
With E-Flow DMS, quotes, contracts and meeting minutes are kept in a single archive next to the related process, with their version and permission history.
Can purchase approvals be given from a phone?
Yes. Tasks are approved in the iOS and Android app, and documents are signed within the flow with an e-signature or mobile signature.
